SMS Templates

Customize the predefined SMS templates used by InstiKit for sending text message notifications.

General 3 min read

The SMS Templates module allows you to customize the SMS messages sent by InstiKit.

Each template corresponds to a specific system event, such as OTP verification, attendance alerts, fee reminders, payment confirmations, and other important notifications.

Instead of modifying application code, administrators can customize the SMS content directly from the administration panel.

InstiKit SMS Template

Important

SMS templates are used only when SMS Notifications are enabled and a valid SMS gateway has been configured under SMS Configuration.

Available Templates

InstiKit includes several predefined SMS templates for commonly used system events.

Examples include:

  • OTP Verification
  • Student Attendance
  • Fee Due Reminder
  • Fee Payment Confirmation
  • Fee Payment Failure
  • Test SMS Notification

The available templates may increase over time as new features are introduced.

Editing a Template

Each SMS template contains the following fields.

Template ID

Some SMS providers, particularly in countries such as India, require approved template IDs before messages can be delivered.

If your SMS provider requires a Template ID, enter the approved value here.

If your provider does not require Template IDs, this field can be left empty.

Subject

The subject is used only to identify the template inside InstiKit.

Recipients do not see this value in the SMS message.

Choose a meaningful subject so administrators can easily identify the template.

Message Content

This field contains the actual SMS text that will be delivered to recipients.

Because SMS messages have character limitations, keep messages short, clear, and easy to understand.

Template Variables

SMS templates support dynamic variables that are automatically replaced when the message is sent.

For example:

##NAME##

may become:

John Smith

Similarly,

##AMOUNT##

may become:

₹2,500

The list of supported variables is displayed while editing each template.

Note

Use only the variables listed for that particular template.

Unsupported variables will not be replaced.

Enabling or Disabling Templates

Each SMS template can be individually enabled or disabled.

By default, all templates are enabled.

If a template is disabled, InstiKit will not send SMS messages for that particular event, even if:

  • SMS Notifications are enabled.
  • SMS Gateway is configured.
  • The related event occurs.

This allows you to selectively disable SMS notifications without affecting other templates.

Custom SMS Templates

InstiKit includes predefined templates for commonly used events.

If you need to send SMS notifications for an event that does not already have a predefined template, it will require a customization.

Examples include:

  • Custom admission workflows
  • Organization-specific approval processes
  • Custom reports
  • Third-party module events
  • Any other workflow not currently supported

Please contact the InstiKit support team if you require additional SMS templates.

Best Practices

When editing SMS templates:

  • Keep messages short and meaningful.
  • Do not remove required variables.
  • Avoid unnecessary formatting or special characters.
  • Ensure the message complies with your SMS provider's regulations.
  • Verify Template IDs if required by your provider.

Important Notes

  • Updating a template affects all future SMS messages for that event.
  • Previously sent SMS messages are not modified.
  • Changes take effect immediately after saving.
  • Templates can be reset to their default content if required.

Saving Changes

After editing a template, click Update to save your changes.

We recommend sending a Test SMS after making significant changes to ensure the template appears correctly and all variables are replaced as expected.
