Match the channel to the school message
A detailed school circular needs room for explanation. A meeting reminder may only need a few lines. The school office should be able to choose a channel that fits the information it is sharing.
InstiKit provides separate tools for email, SMS, and WhatsApp communication. Staff prepare the message in the chosen channel and select the student or employee audience using existing school records.
Send detailed school emails with attachments
Write an email subject and message, then attach any supporting files. Email is useful for parent meeting instructions, activity details, or a circular that families may want to keep.
The email tool uses recorded addresses and can include linked guardian contacts. Staff can also add individual email addresses or exclude specific addresses for that message. This helps the office adjust the recipient list without changing the underlying student or employee records.
Use SMS for short reminders
Prepare a text message for the selected student or staff audience. For example, the office can send a reminder about a meeting date or a change in reporting time.
SMS uses recorded contact numbers, including linked guardian contacts. Staff can add or exclude individual numbers when preparing the message. A configured SMS service is needed to send these messages.
Prepare WhatsApp messages from templates
WhatsApp communication uses a template code and the values required by that template. Supported details, such as a student's name and class or an employee's department, can help make the message relevant to its recipient.
Messages use the contact numbers recorded for the selected student and employee audiences. The school needs its WhatsApp provider and matching templates configured before using this channel.
Choose classes, sections, or staff groups
Across the three messaging tools, student audiences can cover all students or selected divisions, classes, and sections. Employee audiences can cover all staff or selected departments and designations.
For example, a class activity update can use a selected student audience, while an office meeting reminder can use a staff department. Staff do not need to build every audience from a separate spreadsheet.
Refer back to communication records
Saved records retain the message content and audience information for later reference. These records help the office check what was prepared for a school group.
Accurate contact details and the relevant channel setup are essential. Schools can maintain these details in their student, guardian, and employee records as families and staff report changes.
