Give salary calculations a clear starting point
A school may use different salary arrangements for teachers, office staff, and hourly employees. Each arrangement needs clear earnings and deductions before monthly payroll can be calculated.
InstiKit separates salary components, calculation templates, and employee salary structures. This lets the school reuse its pay rules while maintaining the correct amounts for each employee.
Define the salary components your school uses
Pay heads are the individual components in a salary, such as basic pay, an allowance, or a deduction. InstiKit supports earnings, deductions, employee contributions, and employer contributions.
Names and codes help the accounts team identify each component. The school chooses which pay heads belong in a salary template and how they should be calculated.
Use salary templates for calculation rules
A template can include flat amounts, attendance-based calculations, formulas, and other supported calculation types. Hourly payroll is also supported through the appropriate template setup.
For example, a school could configure an allowance as a fixed amount while making another component depend on attendance. The result follows the rules and amounts the school has entered.
Templates make it easier to use a consistent calculation pattern for staff who share the same pay arrangement.
Assign employee amounts and effective dates
An employee's salary structure links the person to a salary template and records their component amounts and effective date. This is the information used when preparing payroll for the applicable period.
The school can maintain different amounts for employees using the same template. A shared template therefore does not mean every teacher or staff member receives the same salary.
Record increments and salary revisions
Salaries can be revised individually or for selected employees in bulk. Revision options include percentage changes, fixed amounts, and changes to particular pay heads.
The revision records the new effective date and links the new structure to the previous one. Component revision records retain old and new amounts where those details are supplied.
For example, the accounts team can prepare an increment effective from the start of a new month and keep the earlier structure available as part of the employee's salary history. The revised structure can then be used for the relevant payroll period.
