Student Hostel Attendance and Outing Management Software

Keep hostel roll calls and outings easy to review

A hostel warden may check attendance more than once a day. Students may also leave for a family visit or another recorded reason. Clear attendance and outing records help the next member of staff understand what has happened during the day.

InstiKit provides hostel attendance and outing registers linked to student accommodation records. Wardens can mark attendance, record an outing, and update the return details when a student comes back.

Mark attendance for the right session and hostel area

Schools can configure attendance sessions to suit their routine, such as morning and evening roll calls. Choose the date and session, then select a hostel block, floor, or room and mark students present or absent.

The attendance list uses the relevant student room allocations. A daily summary shows which sessions have been marked for each selected hostel area, helping staff check the day's entries.

Schools can also configure how far back staff may enter attendance. Future attendance dates are not accepted.

Review attendance across a selected period

The detailed hostel attendance report shows students, their class and room details, and attendance for each date in the selected range. Staff choose an attendance session and a block, floor, or room to focus the report.

The report supports a date range of up to one month and can be exported. This gives wardens a practical register to review when checking earlier roll calls or following up on missing entries.

Record the details of a student outing

Create an outing for a student with a valid hostel allocation. Record the reason, place to visit, guardian's name and contact number, and expected return time. Departure and actual return times can be added, along with remarks.

For example, a family visit can include the destination and the time the student is expected back. These details stay with the outing record for staff to refer to during handover.

Record returns and check outing status

When a student returns, staff can mark their entry to record the current return time. Outing records distinguish planned outings, students who are out, returns on time, and late returns.

Staff can filter the outing list by student, reason, status, and departure date range. Export options help the hostel team keep a copy of the selected records for office use.
