Manage accommodation for students and staff
A residential school needs more than a list of room numbers. Wardens need to know which students live in each room, who attended a hostel roll call, and who has gone out. The school office also needs clear records of accommodation provided to teachers and other employees.
InstiKit supports student hostels and staff residence through separate accommodation records. Both use blocks, floors, and rooms or quarters, with dated allocations and reports showing current occupancy.
Organise student rooms and allocations
Set up hostel blocks, add their floors, and record each room's name, number, and capacity. Allocate rooms to students using their existing school records, with a start date and remarks.
When a stay ends, record the end date and closing remarks. The occupancy report brings current allocations together by floor and room, showing residents, occupied places, and vacancies against the recorded capacity.
Maintain daily hostel attendance and outing records
Schools can configure attendance sessions and mark students present or absent for a selected block, floor, or room. A detailed report shows attendance across a chosen date range for the selected session.
Outing records hold the reason, destination, guardian contact details, departure time, and expected return time. Staff can record the student's return and review planned outings, students still out, and late returns.
Assign responsibility for hostel blocks
Assign an employee as a block in-charge with start and end dates. Active in-charge assignments help determine which hostel blocks staff can work with, alongside their account permissions.
This helps schools organise daily hostel work around the wardens and staff responsible for each block.
Keep staff residence records organised
Create staff quarters with their location, type, and capacity. Allocate a quarter to an employee and record the dates of the stay. Allocation checks help avoid overlapping accommodation for an employee and allocations beyond a quarter's capacity.
The residence occupancy report shows current occupants and available capacity by block and floor. It gives the office useful information when arranging accommodation for a new teacher or reviewing existing staff housing.
